PDF letter guide

Turn a message into a letter worth saving

A PDF letter is useful when the words need more space than a card, when the recipient may want to print the message, or when a formal layout matters. The tool above creates the file; the guidance below helps you decide what belongs inside it.

Write the first draft in plain language before choosing a template. A strong letter has a clear reason for being sent, evidence that makes it personal, and an ending that tells the recipient what you hope happens next.

01When PDF is the better format

  1. 01

    Longer personal letters

Use PDF when you need several paragraphs to explain a memory, express gratitude, or say something carefully without squeezing it into a short card.

  2. 02

    Formal or professional messages

A clean document suits a mentor thank-you, team recognition, graduation note, or family letter that may be printed and presented with another gift.

  3. 03

    A keepsake the recipient controls

After downloading, you choose where to store or share the file. This is useful when you want to keep a copy independent of a share link.

02A clear five-part letter structure

  1. 01

    Opening

Address the recipient naturally and name the occasion or reason for writing.

  2. 02

    Specific detail

Describe one action, memory, or quality that made you want to write.

  3. 03

    Meaning

Explain why that detail matters to you or how it changed your experience.

  4. 04

    Forward-looking wish

Connect the letter to what the recipient is doing or hoping for next.

  5. 05

    Sign-off

Close in the tone of the relationship: warm, respectful, playful, or formal.

03A useful outline before you start

“Dear Maya, I wanted to write after your final presentation because the result only shows part of what you achieved. I saw how carefully you rebuilt the project after the first version failed, and how you still shared your notes with the rest of the group. That patience changed how I think about difficult work. I hope your next step gives you a team that values both your ideas and the way you help others. Congratulations—with admiration, Sara.”

04Editing before download

  • Read the letter aloud once. Shorten any sentence that makes you run out of breath.
  • Replace broad adjectives with evidence. Instead of ‘kind,’ describe what the person did that felt kind.
  • Check names, dates, pronouns, and the file name. A careful document loses trust quickly when a personal detail is wrong.
  • Preview the photo shape and page layout on a phone-sized screen as well as a larger screen.
  • Keep your own copy after downloading; the site is not a permanent document archive.

05Processing and privacy

The browser sends the letter text and optional image to the site server to create the PDF and return it as a download. A PDF request is not automatically saved as a shareable gift, although temporary processing data and technical hosting logs may exist as described in the Privacy policy.

Do not include passwords, payment details, identity numbers, medical records, or confidential workplace information. Send the finished file through a channel appropriate for the sensitivity of the message.

Why people use PDF letters

A PDF letter is a simple way to keep a message personal, tidy, and easy to share. You can send it now or print it later without changing the layout.

Frequently asked questions

How do I create a PDF letter?

Choose one of the available designs, enter the recipient, greeting, message and sender, add an optional photo, review the preview, and click "Download as PDF".

Is this free?

The tool is free and needs no account. Write the letter, pick a design, download the file.

Does it support long messages?

You can enter a message up to the character limit shown in the tool. The design adapts the output page dimensions; the tool does not promise to split text across multiple A4 pages.

What quality is the PDF?

Check the downloaded file before printing. Margins and colour shift between designs, printers and paper, so what you see on screen is close but not identical.

Is my data saved anywhere?

Your letter is used to build the file and then it is yours — it is not saved as a gift and nobody else can open it. The download is your copy, so keep it. What is retained, and for how long, is on the privacy page.

Can I print it?

You can print the downloaded PDF, but the output is not guaranteed to match A4. Check the page size and print preview before printing.
